❓ How the clinic toolkit works

Read first

Don't delete anything you didn't create. Settings are configured by Amy — if something looks broken, close the tab and ask her.

Getting started

  1. Bookmark this dashboard and always start here — signing in once signs you into every app.
  2. Sign in with your clinic email + password (Amy creates accounts — there is no self sign-up).

The one rule of the toolkit

Patient File is the front door. Anything about one patient — their details, surgeon order, pre-op plan, operative form, documents, archiving — starts by opening their file. The big tile at the top of this page takes you there, and pressing Enter in the Patient admin search box below opens your search in it.

  • Patient File — everything about one patient. Start here.
  • Every day: Schedule (operating days + booking) · Patient Checklist (who's up to what — ticks save everywhere) · Quote Builder · Patient Info Builder (pamphlets) · Surgical List.
  • Utilities: Theatre Calculator · VSC Fee Estimate · Inventory (stock + orders + compliance) · Hires (equipment out + returns + waitlist) · MASADA shared list.

On this page

  • Drop patient files — drop PracSuite PDFs, screenshots or spreadsheets; each is matched to the right patient and nothing is filed without your OK. Anything that can't be matched waits under Parked files on the same card, and the maintenance tools sit collapsed at the bottom of it.
  • Pending surgical cases — Steve's submitted cases land here for processing (quote → pamphlet → list → hire).
  • Patient admin — bulk jobs only: Import patients (dry-run first), the No-date-yet review list, Archived (restore patients here), and Tools (find duplicates / fix split names).
  • Surgeon tab — Steve's one-screen intake form.
  • BMI calculator at the bottom of the right-hand column — click its heading to open it. Type a height and weight to get the BMI and its WHO category. It is a scratch pad: nothing is saved to a patient record.

Where is my data?

One shared clinic database (Supabase, Sydney). Every app reads and writes the same patient record — add once, available everywhere. Nothing is stored on this computer.

Keeping it safe

  • Sign out on shared computers.
  • Archiving a patient is reversible (restore from Patient admin → Archived). Nothing here permanently deletes a patient.
  • If in doubt, stop and ask Amy — screenshots help.

Operative descriptionsDr Edwards’ own operative descriptions, in 36 categories. These are the ones the picker offers on an operation report and on the pre-op plan — change one here and both forms offer the new wording.
Document wordingThe standing sentences on the consent form, the referrals and the surgery letters — the words that are the same for every patient. Change one here and the next document made prints your wording.Open
Bank detailsThe account name, BSB and account number in the “Bank transfer details” box on every quote — the account patients pay into. Admin-only at the database, double-confirmed here, and every change is recorded.
Your passwordThe password you sign in with. Yours only — other people’s sign-ins are managed under Staff users.

Settings are admin-only. Ask Amy if you need something changed.

Choose a new password

At least 8 characters. Type it twice so a typo can't lock you out — there's nothing else to fill in.

Bank details on the quotes

These print in the “Bank transfer details” box on every quote — the account patients pay into. The boxes show what prints now; only an admin login can save a change.

Exactly as it appears on your bank statement.

Six digits — a space is fine, like 182 512.

4 to 10 digits — spaces are fine.

Patients will be told to pay into this account — check every digit against your bank statement.
